JohnsonsFlava LLC – Delivery & Setup Policy

1. Policy Scope & Overview
At JohnsonsFlava LLC, we specialize in creating exquisite, custom cakes and desserts that are as delicate as they are delicious. This policy outlines our procedures and fees for ensuring your masterpiece arrives and is presented perfectly. All delivery and setup services are optional and will be quoted in advance.

2. Delivery Service

Scheduling & Communication: All deliveries must be scheduled in advance. We will coordinate with you to establish a confirmed delivery date and a designated delivery window. A contact person must be available by phone on the day of delivery.
Delivery Fee Structure: A delivery fee is calculated based on the round-trip mileage from Johnsonsflava's home location to your venue.

Rate: $0.80 per mile.
Calculation Method: Mileage is calculated using a standard mapping service (e.g., Google Maps) for the round-trip distance.
Example: For a venue located 20 miles away: (20 miles to venue + 20 miles return) = 40 total miles. Delivery Fee = 40 miles x $0.80/mile = $32.00.
Delivery Windows: We strive for on-time delivery; however, as we handle perishable and fragile items, all delivery windows are estimates. We will proactively communicate any significant delays.


3. Setup & Staging Service

Service Description: Our setup service ensures your custom cake or dessert display is arranged professionally and safely at your venue. This includes placement, final assembly (e.g., adding flowers, toppers), and light styling to match your vision.
Setup Fee Structure: The setup service is billed on an hourly basis.

Rate: $45.00 per hour.
Billing Increment: A minimum of one hour is charged. Time is billed in 15-minute increments after the first hour.
Example: If setup takes 1 hour and 15 minutes, the total setup fee would be 1.25 hours x $45.00/hour = $56.25.
Quoted Estimates: An estimated setup time will be provided and quoted before your event. The final fee will be based on the actual time spent on site.


4. Customer Responsibilities
To facilitate a smooth delivery and setup process, the client is responsible for:

Site Access: Ensuring a responsible party is present at the agreed-upon time to grant access and provide direction.
Prepared Space: Confirming the setup location (e.g., table, stand) is clean, stable, and ready prior to our arrival.
Environment: Ensuring the setup area is climate-appropriate (away from direct sunlight, heating vents, or drafts) and structurally sound.
Notification: Informing us of any specific venue requirements, such as loading dock access, stairs, or long walking distances, at the time of booking.


5. Payment & Order Terms

Quotes & Invoicing: All delivery and setup fees will be detailed on your initial invoice. A 50% deposit is required to secure your order and delivery date, with the remaining balance due 7 days prior to your event date.
Accepted Payment Methods: We accept cash, major credit/debit cards, and electronic bank transfers.


6. Cancellation & Rescheduling

Cancellation: If you cancel your order more than 14 days before the scheduled delivery date, your deposit, minus a 10% administrative fee, will be refunded. Cancellations within 14 days of the event are non-refundable.
Rescheduling: We will make every effort to accommodate rescheduling requests, subject to our availability. Requests made less than 7 days prior to the original date may incur a $50 rescheduling fee.


7. Limitations of Liability

Product Handling: Once delivery and setup are signed off on by the client or their representative, JohnsonsFlava LLC is not responsible for any damage to, melting of, or collapse of the product caused by guest interference, environmental factors, or an unstable surface.
Safe Conditions: Our team will make every reasonable effort to deliver and setup your order. We are not liable for damage to property (e.g., walls, floors, doorframes) that occurs during delivery if the path is obstructed or deemed unsafe. We reserve the right to refuse setup in conditions we deem unsafe for our personnel or your product.
Inspection: We highly recommend you or your designated representative inspect the product at the time of setup before our team departs the venue.
